Xtreme Media Group’s Booth Codes & Conduct Guide Lines: Zombie Con X
Please read the following information carefully as these policies pertain to all vendors!
You the Vendor should have:
Quality merchandise
A well-maintained, safe area
Courteous, friendly, staff
Vendors are required to obtain all permits in accordance with local and state authorities.
All equipment used in operating a booth during the event will be the responsibility of the vendor, including booth, tables, chairs, lighting, maintaining and removing booth materials, leftovers and trash. Please leave your area as clean as it was when you arrived.
The appearance of your booth is critical to the overall atmosphere of the audience’s perception of the event.
All BALANCES ARE DUE IN FULL and must be received by September 10th, 2009.
There is a $50.00 per week late fee if the balance is not received in full by September 10th, 2009.
If you paying by credit card or plan to pay by credit card please use the payment option on our website, on our vendor page.
You will receive an e-mail confirmation and .pdf documents relative to the event. You will receive packet with Tickets, VIP Passes, badges, and Information including unloading times set up times and event schedule prior to the event via mail.
VENDOR REPS:
All representative names must match names on file the day of the event. (if you didn’t inform us of a rep change they will not be admitted.)
VIP invites are non transferable. The names will be check at the door be sure to have ID with you.
Sales or Distribution of the following items will be strictly prohibited:
• Illegal Substances such as illicit drugs and / or drug paraphernalia
• Animals / pets
• Firearms, explosive, edged weapons, or any other mechanical weapons
• Fraudulent Merchandise
• Boot leg copies of any film, TV show, comic book, literary work art work, animation etc.
• Any product deemed illegal by the state of Wisconsin.
• Any product deemed illegal by the Federal government of the United States of America.
Any vendor caught selling prohibited material will be removed from the building and you will not be refunded.
Please stay with in your assigned booth space.
SET UP AND TEAR DOWN:
You will be given a Loading and unloading schedule. Please adhere to it or you will not be permitted to set up.
Bring your own extension cords, power strips, and lighting as needed.
Set up will be the Friday October 9th and tear down after 6:30 pm Sunday or Monday October 12th.
Booth must be completely set up, open, & ready for business 30 minutes prior to the doors opening on each day of the event.
Vendor hours are required to be open at 9:30am and close at 6:15 both Saturday and Sunday. No early breakdown or late setup will be allowed. No exceptions!!!
By signing this agreement you, the vendor, release Xtreme Media Group LLC, and/or their agents (“Zombie Con X”), as well as the owners of the event site of any and all liability for any damage, injury, or loss to any person or goods which may arise from the rental and occupation of exhibit space by the applicant(s). You agree to hold Xtreme Media Group LLC and the owners of the event site harmless for any and all loss or damage by reason thereof. You also agree to comply with all state and local regulations in the operation of your booth. You agree that you have read and agree with the Xtreme’s Booth Codes & Conduct Guide Lines outlined in the attachment.
Xtreme Media Group LLC may choose to terminate this agreement at any time if you or representatives of your company choose not to abide by Xtreme’s Booth Codes & Conduct Guide Lines. Xtreme Media Group LLC reserves the right to make changes to this agreement as needed.
You understand your Vendor booth(s) are/is non refundable. The booth payment shall not be refunded in the event that you do not attend or if all or part of the event is canceled due to fire, calamity or any other acts of God, storms, bad weather, flood, public enemy, strikes, statutes or ordinances or any legal authority or any other cause beyond our control. All payments are due in full by September 10th, 2009. If payment is not received by the due date set up will be refused. We reserve the right to ask you to remove any misrepresented items in your booth.
If paying by check, all checks must be recieved by September 10, 2009.
All Checks are made payable to Xtreme Media Group LLC.
